J J $ INSTRUCTION OFFICE  MEMORANDUM DATE: November 13, 2007 TO: Full-Time Faculty FROM: Vic Krimsley Interim Vice President of Instruction SUBJECT: Sabbatical Flex Requirement Title 5 regulations require each college that has flex days in its calendar to document that each faculty member has fulfilled their flex obligation. This requirementhas been establishedto ensure that eachcollege fulfillsits 175-day obligationandthat each full-time faculty membercompletes a175-day workload. At Ƶ, we currentlysatisfy this documentation through processes under the purview of the Faculty Staff Development Committee. Since we are allowed to maintain a 165-day teaching schedule, we must provide documentation that each faculty member hascarried out10 days of permissible flex activities. With respect to sabbatical leaves, it remains unclear as to whether the flex days are included within the sabbatical proposal itself. However, we now must institute a more careful process of documenting those activities that are to be designated as flex activities. If you are submitting a full-year sabbatical proposal and you feel that your project is broad enough to encompass 175 days, you must sayso in your proposal and designate a portion of the work plan as fulfilling the 10-day flex obligation. This information mustthen beincluded in the standard flex form and submitted to theFaculty Staff Development Committee along with the Sabbatical Proposal. When the committee reviews the proposal, it will also review the allocation of flex time and make a determination as to whether the proposal is a substantial enough piece of work to cover the entire 175 day period. On the other hand, you may choose to do 10 days of flex activities that are not part of your sabbatical proposal, in which case the committee will assume that you intend for your proposal to cover only the teaching days of your assignment. In a similar fashion, if you are proposing a one-semester sabbatical, you must still do 10 days of flex activities. In this case, you may designate afive-day portion of your sabbatical proposal as flexactivities and find another five days of activities to satisfythe requirement for the semester when you will be teaching on campus. There is no reason why the second five-dayactivities cannot be related to your sabbatical, either in preparation for a spring semester sabbatical or as follow-up after a fall-semester sabbatical. So long as you submit the necessary flex form for the annual 10 days of flex activities and let the committee know what your intentions are with regard to the allocation of your sabbatical time, you will be complying with the local procedures we will be using.
